    Whether you’ve just registered as a sole trader or you’re running a growing limited company, working with experienced small business accountants can turn your finances from a source of stress into a genuine competitive advantage. Yet many owners still treat accounting as a once-a-year chore rather than an everyday business tool.

    If you find it a juggle, you’re in good company. According to the Department for Business and Trade’s Business Population Estimates 2025, there were around 5.7 million private sector businesses in the UK at the start of 2025, and 99.2% of them were small firms with fewer than 50 employees. Every one of them has records to keep, deadlines to meet and cash to manage.

    Why Accounting Is More Than Number-Crunching

    At its heart, accounting tells you whether your business is actually working. Turnover can look healthy while profit quietly shrinks, and a busy month doesn’t always mean money in the bank.

    Accurate bookkeeping helps you price properly, spot problems early and make confident decisions about hiring or investment. It also keeps you on the right side of HM Revenue & Customs (HMRC).

    Making Tax Digital Has Changed the Rules

    The biggest shift in a generation arrived on 6 April 2026. Making Tax Digital (MTD) for Income Tax is now mandatory for sole traders and landlords whose qualifying income exceeded £50,000 in 2024/25. HMRC estimates more than 864,000 people fall into this first wave.

    Those affected must keep digital records using HMRC-recognised software and submit quarterly updates. The next update, covering 6 July to 5 October, is due by 7 November 2026, while the 31 January tax return deadline still applies.

    Importantly, “qualifying income” means gross income from self-employment and property combined, not profit. The threshold drops to £30,000 from April 2027 and £20,000 from April 2028.

    HMRC has confirmed no penalty points will be issued for late quarterly updates during the first year, but penalties still apply to late returns and payments.

    Get the Fundamentals Right

    Separate business and personal finances. A dedicated business bank account makes records cleaner and year-end far less painful.

    Keep records consistently. HMRC generally expects sole traders to keep records for at least five years after the 31 January submission deadline, and limited companies usually for six years. Cloud accounting software makes this much easier than a shoebox of receipts.

    Watch the VAT threshold. You must register for VAT if your taxable turnover exceeds £90,000 in any rolling 12-month period, not just your financial year. Registering late can leave you paying VAT out of your own margin.

    Claim what you’re entitled to. Allowable expenses and capital allowances can legitimately reduce your tax bill, but only when properly recorded.

    Cash Flow: The Silent Business Killer

    Profitable businesses can still fail if cash runs dry, and late payment remains a major culprit. Research commissioned by the Department for Business and Trade and the Office of the Small Business Commissioner, published in July 2025, estimates that late payments cost the UK economy almost £11 billion a year and contribute to around 14,000 business closures annually.

    Affected businesses are owed an average of £17,000 at any one time, according to the same research.

    To protect your cash flow, set clear payment terms, invoice promptly and keep a rolling forecast. Under the Late Payment of Commercial Debts (Interest) Act 1998, businesses can usually claim statutory interest at 8% above the Bank of England base rate on overdue business-to-business invoices.

    When to Bring in Professional Support

    DIY bookkeeping can make sense early on, but it often starts costing more than it saves when you take on staff, approach the VAT threshold, consider incorporating or come within MTD.

    A qualified accountant can help you choose the right business structure, plan ahead for tax bills and interpret your figures. When choosing one, check they belong to a recognised professional body and hold professional indemnity insurance.
